How to Find Balance While Embracing Technology and Work-Life Integration

In today’s digital age, technology plays a significant role in both our personal and professional lives.  While it can sometimes blur the boundaries between work and personal time, when used mindfully, technology can also enable greater work-life integration. 

I have a messy relationship with technology.  I love being online to unwind, chat, play games, and keep in contact with friends and family.  My extended family has become scattered across North America, so it is tough to stay in constant contact with all of them without the help of social media,

However, my work is almost entirely online, as well. This means that I spend countless hours a day behind the screen, which can be exhausting. Sometimes, I crave to just unplug and walk away. So, how do you find a balance?

By harnessing the power of technology and adopting smart strategies, we can navigate the modern workplace and find that balance.  When used properly, technology significantly decreases the time you have to spend plugging away productively.  This “found” time can then be used intentionally to step away and enjoy the real world.

Utilize productivity apps and tools.

Let’s start with the counterintuitive.  Using your phone or an extension on your browser is a great way to track and manage your time.  There are literally thousands of options to choose from, and they fall into specific categories depending on how you want to use them.

Time-tracking and management apps

Try using apps or software that help you monitor and analyze how you spend your time.  This awareness allows you to make informed decisions about how to allocate your energy and set boundaries.

If you use Windows, you can experiment with the “Clock” app.  It’s already pre-installed and has a variety of functions.  When you open it up, select the “Focus” panel and simply set how long you need to concentrate.  This app can also be synced with the “Microsoft To-Do” app so you can track how much you get accomplished.

As with most pre-installed programs, it can be a bit clunky and hard to work with.  This is one you might want to play around with, but it’s a nice place to get started if you just want to test this strategy out with no commitments.

Alternatively, I like to use Motion.  Motion is time-blocking reimagined.  It uses AI to optimize your tasks and distribute them throughout the days and weeks to allow you to get more done.  It will automatically schedule your workflow, saving time and reducing decision fatigue.  It will lead you through each of your tasks and leave room for breaks, saving you from burnout and being overwhelmed.  It is also quite customizable, so you can adjust the focus and break lengths to your preferences.

Collaboration platforms

Leverage collaboration tools like project management software or communication platforms to streamline workflows, facilitate teamwork, and reduce email overload.  These tools enhance productivity and promote efficient work practices.

These are programs like Asana and Trello.  They are great for working solo or managing a team.  These let you track the workflow of several projects, that may be in differing stages of development.

I personally use Trello.  It lets me create boards for different projects I’m launching, one to track the activities for each of my companies and comes with common templates to help get you started.  You can try it here for free.

Digital calendars and reminders

Embrace digital calendars and reminders to stay organized, manage deadlines, and maintain a clear overview of your schedule.  Sync your personal and professional calendars to ensure a comprehensive view of your commitments.

I use this strategy daily, and it is an absolute life changer.  I have all of my email calendars synced so that even when I’m away from my laptop, I always know exactly where I need to be. 

This strategy is fantastic for time blocking.  I started this strategy in university.  I started university as a mature student, so I was still working full-time and had a little one.  Thrust me.  My schedule was bursting!

Blocking off all the time I had to be in classes and meetings or even accomplishing things like making dinner helped me make better use of my time and respect daily limitations.  Now that I have also incorporated Motion into this strategy, my days are smoother than ever.

Motion slots all of my outstanding tasks in between all of my meetings and obligations.  This means that I am not twiddling my fingers or locked in an executive dysfunction spiral.  I always have an actionable task queued up to cross off my list.

As a bonus tip, don’t forget to account for and track commute time when using this strategy!

Establish digital boundaries

In every aspect of your life, it is essential to set boundaries.  This is especially true when you own your own business or work from home.  It is too easy for your work life to seep in and take over your family and leisure time, but there are some simple ways to combat this.

Define your at-work and off-work hours

Clearly establish and communicate your boundaries regarding when you’re available for work-related communication.  Set specific hours when you can fully disconnect from work and focus on personal activities.

This will be tough if you are a self-described workaholic like me.  Not only for you to step away but also for co-workers who are used to having constant access to you.  The first few weeks will be filled with do-not-disturb mode and ignored messages.  Eventually, they will learn to contact you only in emergencies.

It took me a while to get used to not answering their calls and messages, but I knew this was an investment in my future leisure time.  There are a couple of things I had to keep in mind:

  1. Just because someone calls you and it’s a good time for them to talk does not mean that you are automatically obligated to make room for them in that instant.  You can call them back when it’s more convenient for you.  Give yourself permission to not jump out of the shower to take that phone call soaking wet.

  2. If it is truly an emergency, they will text you or leave a message saying so.  If you don’t answer and something is really on fire, they will hang up and try again.  They will leave a message.  They will continue to try to contact you until they get you. 

It can be hard to let go of anxious thinking.  However, it can be detrimental to your physical health, mental health, and relationships to not have time to unwind.

Disable notifications

Consider disabling non-essential notifications during personal time to minimize distractions and maintain focus.  This allows you to be fully present in your personal life without constant work-related interruptions.

The do not disturb button is great for this.  I have it set to come on automatically at 8:00 pm every night.  This way, my phone won’t disturb my bedtime routine with my children.

You can also use it during focus intervals or simply just turn off specific app notifications or email notifications.  You’d be surprised how customizable you can make your phone settings.

Create device-free zones

Designate specific areas or times where electronic devices are prohibited.  This allows for undistracted personal interactions and moments of relaxation, reducing the temptation to constantly check work-related messages.

We have a “no-phones at the dinner table” rule.  This gives us dedicated time to chat with each other and catch up with the day.  You may also extend this rule to the bedroom for a better night’s sleep or other family activities.

Embrace flexible work arrangements

Whenever possible, embrace the freedom that technology affords you.  One of the best things about our devices is that they allow us to stay connected regardless of our location.  This can be a nice change.

Remote work opportunities

If feasible, explore the option of remote work or flexible work arrangements.  Remote work offers greater autonomy and allows you to create a work environment that suits your personal needs and preferences.

There are many opportunities for remote.  What was once just a pipe dream has become a reality as more and more companies are downsizing their brick-and-mortar operations.  This can be a massive benefit to you if you prefer to be a homebody.

Flexible scheduling

Negotiate flexible work hours that accommodate personal commitments and enable a better work-life balance.  This flexibility empowers you to allocate time for individual activities, such as exercise, family obligations, or pursuing hobbies.

I know many families that choose to take advantage of this as a response to child care.  Parents choose alternating shifts or working from home so that they have the option of having a parent at home.

Leverage telecommuting tools

Take advantage of video conferencing and virtual meeting platforms to reduce the need for physical commuting and enable more time for personal pursuits.  These tools foster collaboration while minimizing travel time.

The rise of Zoom has been a game changer for me.  I can now have in-person meetings with associates and clients that I never thought possible.  Being able to screen share and chat face-to-face from anywhere has really elevated both my business and family bonds.

Travelling with little ones is tough, so the fact that I can do a video call with my out-of-town family members makes us feel more connected.  Maintaining those strong bonds is much easier despite long absences and infrequent visits.
